Privacy Policy — NBE Hub

1. Who this app is for

NBE Hub is a closed, invitation-only app distributed privately through Apple Business Manager and Google Play's private track. It is not available to the general public. Only current employees of NBE Catering Equipment Services are given access.

2. What information we collect

When you use NBE Hub, the following information is collected:

• Account details — your name, work email address, and username, provided by your employer when your account is created.
• Authentication data — a secure session token is created when you log in and stored on your device. Your PIN is verified server-side and never stored on the device.
• Job and timesheet data — clock-in and clock-out times, jobs assigned to you, job sheet submissions, and van stock usage.
• Photos — images you take or choose from your photo library when completing job sheets, expense claims, vehicle checklists, or accident reports. Photos are uploaded to NBE's secure backend.
• Expense information — receipts, amounts, dates, and descriptions you submit through the expense form.
• Holiday and sickness records — dates and reasons you submit through the relevant forms.
• Vehicle checklist submissions — your weekly van check responses.
• Accident reports — details and your drawn signature submitted through the accident report form.
• Push notification token — a device identifier generated by Expo/Apple used solely to send you work notifications. Stored on NBE's backend.
• Location data — NBE Hub does not collect your location directly. The "Open in Maps" button passes a job address to Apple Maps, which is governed by Apple's own privacy policy.

3. How we use your information

• To show you your assigned jobs, timesheets, and performance data.
• To process job sheets, expenses, holiday requests, and other work forms.
• To send you push notifications about new job assignments and announcements.
• To calculate payroll, overtime, and compliance reporting for your employer.
• To maintain a record of vehicle checks and accident reports as required by law.

We do not use your information for advertising, profiling, or any purpose unrelated to your employment at NBE Catering Equipment Services.

4. Where your data is stored

Data submitted through the app is stored in Google Workspace (Google Sheets and Google Drive) operated by NBE Catering Equipment Services. Photos and documents are stored in Google Drive. Notification tokens are stored within NBE's backend systems. All data remains within the European Economic Area.

5. Who can access your data

• You — through the app itself.
• Authorised NBE management and HR staff — for payroll, compliance, and operational purposes.
• Tamsen Comber — as the app developer, for maintenance and support purposes only.

Your data is never sold, rented, or shared with third parties outside of those described above.

6. Data retention

Your data is retained for as long as you are employed by NBE Catering Equipment Services, plus any period required by law (for example, accident records and payroll data). When your employment ends, your account will be deactivated and your data retained only as required by applicable law.

7. Your rights (UK GDPR)

Under UK data protection law, you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data (subject to legal retention requirements).
• Object to or restrict certain processing.
• Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

8. Security

Login is protected by a server-side PIN check and a session token that expires daily. All communication between the app and our backend uses HTTPS. Photos are transmitted over encrypted connections. We take reasonable technical measures to protect your data, but no system is completely secure.

9. Children

NBE Hub is not intended for anyone under the age of 18. It is a workplace application for employed adults only.

10. Changes to this policy

If we make significant changes to this policy, we will notify you through the app or by email. The "last updated" date at the top of this page will always reflect the most recent version.
